Project photographs, plans and site information

Project photographs, plans, drawings, measurements and site notes may contain personal information, including a property address, images of a home or workplace, vehicle number plates or people. We use this information for quoting, design, manufacturing, installation, quality control, warranty, safety and record-keeping purposes.

We may ask for permission to use completed-project photographs or testimonials in our portfolio, website, social media or other marketing. Where consent is required, we will seek it before publishing identifiable personal information. We may crop, blur, de-identify or remove details such as street numbers, number plates and people where reasonably practical.

Automated and AI-assisted business tools

We may use approved business software, including automated or artificial intelligence assisted tools, to help sort, extract, summarise or draft responses to enquiries and project information. We seek to limit the personal information provided to those tools, apply appropriate access controls and retain human review of important business decisions.

We do not intend to rely solely on automated processing to make decisions about an individual that produce legal or similarly significant effects. If our use of these tools materially changes, we will review and update this policy.

Who we may disclose personal information to

We may disclose personal information where reasonably necessary to:

  • our directors, employees and authorised contractors;

  • installers, fabricators, powder coaters, suppliers, builders, tradespeople, transport providers and other people involved in delivering a project;

  • technology providers that support our website, email, phone system, file storage, customer relationship management, project management, accounting, payments, analytics, security, backups and communications;

  • automated or AI-assisted business service providers where used for an approved business purpose;

  • government bodies, regulators, courts, tribunals, law enforcement agencies or other persons where required or authorised by law; and

  • a purchaser, adviser or financier in connection with a proposed or actual sale, restructuring or transfer of all or part of our business, subject to appropriate confidentiality arrangements.

We do not sell personal information. We require service providers to handle information only for authorised purposes and to protect it appropriately, subject to applicable law and contractual arrangements.

Website, cookies and analytics

When you visit our website, our systems or service providers may collect technical and usage information through cookies, pixels, server logs and similar technologies. This may help the website operate, remember preferences, measure traffic, understand how visitors use the site, improve content and assess advertising performance.

You can usually control or delete cookies through your browser settings. Blocking some cookies may affect website functionality. If we use optional analytics or advertising cookies that require consent, we will use an appropriate consent mechanism.

Our website may contain links to third-party websites or social media services. Those services have their own privacy practices, and we are not responsible for how they handle personal information.

Direct marketing

We may send you information about Swift products, services or offers where you have consented or where the communication is otherwise permitted by law. Submitting a one-off enquiry does not automatically mean you agree to receive ongoing marketing.

You may opt out at any time by using the unsubscribe facility in an electronic message or contacting us. We will action valid opt-out requests within a reasonable period and will not charge you. We may still send non-marketing messages that are necessary for an enquiry, quote, order, project, invoice, warranty or legal obligation.

Overseas storage and disclosure

Some of our technology and cloud service providers may store or process information outside Australia. Depending on the provider and configuration, overseas locations may include the United States and other countries in which a provider or its subcontractors operate. Provider locations can change over time.

Where required, we take reasonable steps to ensure overseas recipients handle personal information consistently with applicable Australian privacy requirements. You may contact us for more current information about the likely locations relevant to the services we use.

Security and retention

How we protect information

We use reasonable administrative, physical and technical safeguards appropriate to our business and the information we hold. These may include access controls, passwords and multi-factor authentication, staff permissions, secure cloud services, backups, device protection, physical security and procedures for handling suspected data incidents.

No method of transmission or storage is completely secure. If we become aware of a suspected data breach, we will assess and respond to it and, where the Notifiable Data Breaches scheme applies, notify affected individuals and the Office of the Australian Information Commissioner when legally required.

How long we keep information

We retain personal information for as long as reasonably necessary for the purposes described in this policy, to manage warranties and project history, resolve disputes and meet legal, tax, accounting, insurance and record-keeping requirements. When information is no longer required, we take reasonable steps to delete, destroy or de-identify it, subject to legal and technical limitations.

Accessing or correcting your personal information

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact our Privacy Officer using the details below. We may need to verify your identity before responding.

We will respond within a reasonable period. We generally do not charge for making a request, although where permitted by law we may charge a reasonable cost for providing access. If we refuse access or correction where the law allows, we will explain the reason and available complaint options unless it would be unreasonable or unlawful to do so.

Privacy complaints

If you believe we have mishandled your personal information, please contact our Privacy Officer and describe your concern. We will acknowledge the complaint promptly, investigate it fairly and aim to provide a written response within 30 calendar days. If we need more time, we will let you know.

If you are not satisfied with our response and the Privacy Act applies, you may contact the Office of the Australian Information Commissioner (OAIC) through www.oaic.gov.au or by calling 1300 363 992. The OAIC may ask you to complain to us first and allow us a reasonable opportunity to respond.

Anonymity and pseudonyms

You may make a general enquiry without identifying yourself or by using a pseudonym where lawful and practical. We will usually need your correct name, contact details and site or delivery information to prepare an accurate quote, arrange a site visit, open an account, perform work, issue an invoice or meet legal and safety requirements.

Changes to this policy

We may update this policy when our practices, technology, service providers or legal obligations change. The current version will be published at https://www.swiftfences.com.au and will show its effective date. We encourage you to review it periodically.
